What Should I Ask My Wedding Photographer Before Booking?
Important questions every couple should ask before choosing a wedding photographer in Brooklyn or New York City.
Choosing a wedding photographer involves more than finding beautiful pictures. You are trusting someone to document moments that cannot be repeated.
1. Are You Available on Our Wedding Date?
This should be the first question you ask a wedding photographer. Experienced wedding photographers often book dates months in advance, especially during the busiest wedding seasons.
Asking about availability first respects everyone’s time. If the photographer is already booked on your wedding date, you can continue your search without spending time discussing packages and other details. If the photographer is available, you can move forward with the conversation and ask your remaining questions.
2. How Would You Describe Your Wedding Photography Style?
This is another important question, and couples have asked me this many times. My photography style combines a timeless, traditional approach with a modern feel. It continues to grow with the times while keeping the original style and qualities that make my work recognizable.
You may have discovered a photographer’s work and liked it without knowing exactly what attracted you to it. Asking the photographer to describe their style can help you understand what you are seeing and why it connects with you.
Their answer will also help you decide whether they are the right fit. If their style does not match your vision, you will have a clearer idea of what to look for as you continue your search.
3. What Is Included in a Wedding Photography Package?
This question can have many answers because every photographer creates their packages differently. That is why couples should never assume that all wedding photography packages include the same services or products.
One of the most common items is an online wedding gallery. The gallery allows you to view, download, and share your edited photographs. Some galleries also let you select your favorite images, which helps the photographer understand which photographs you may want for prints or a wedding album.
Depending on the photographer, a package may also include:
* A specific number of coverage hours
* One or two photographers
* An engagement session
* Professionally edited digital photographs
* Printing rights
* Prints or wall art
* A professionally designed wedding album
Before booking, ask the photographer to explain exactly what is included, what costs extra, and whether the package can be customized. This will help you compare photographers fairly and avoid surprises later.
4. How Many Hours of Wedding Photography Do I Need?
The number of hours you need depends on your wedding timeline and how much of the day you want photographed. It is less about the size of the venue and more about the number of events, locations, and important moments taking place throughout the day.
A smaller wedding with a short ceremony, a small wedding party, and fewer scheduled events may only need six hours of coverage. Eight hours is often enough to photograph getting ready, the ceremony, family portraits, couple portraits, and part of the reception.
A larger wedding may need 10 hours or more, especially when it includes:
* Separate getting-ready locations
* A large bridal party
* A first look
* Travel between locations
* Cultural traditions or special dances
* A long ceremony
* A detailed reception program
* Full coverage through the final dance or send-off
For example, if you have 10 bridesmaids and 10 groomsmen, several planned dances, and many important moments throughout the day, additional time may be necessary. A second photographer can also help by photographing the bride and groom getting ready at the same time, capturing guest reactions, and covering different parts of a large wedding.
Before choosing your hours, explain your complete wedding-day plan to the photographer. An experienced photographer should help you build a realistic photography timeline so the day can be documented without making you feel rushed.
5. What Happens if My Wedding Photographer Becomes Sick?
Every professional wedding photographer should have a clear emergency plan. Illnesses, accidents, and unexpected situations can happen, even when everyone prepares carefully.
I personally have a backup photographer who understands my approach and can photograph a wedding in a style close to mine. I would still handle the editing afterward, which helps the finished photographs remain consistent with the Magic All Moment style.
Ask your photographer who would cover the wedding if they became seriously ill or had an emergency. You should also confirm that this plan is explained in the photography contract.
If a photographer has no backup plan, consider that a serious warning sign. Your wedding cannot be postponed simply because the photographer is unavailable. Without a plan, you could be left searching for someone at the last minute, when choices are limited and the cost may be higher.
A dependable backup plan protects your wedding memories and gives you greater peace of mind before the day arrives.
6. Does the Photographer Carry Backup Cameras and Equipment?
A professional wedding photographer should always arrive with backup equipment. Cameras can fail, memory cards can become damaged, batteries can stop working, and flashes can malfunction. Your wedding day cannot be paused while the photographer searches for replacement equipment.
I bring four cameras to a wedding. I photograph with my main camera and keep a second camera ready at my side. I also carry a smaller camera for quickly capturing unexpected moments. Two additional cameras are kept nearby in case a problem develops with my primary equipment.
Photographers should also carry extra lenses, flashes, batteries, memory cards, and other essential accessories.
If a photographer arrives with only one camera, that should be a serious concern. If that camera stops working, the photographer may no longer be able to document your day. Backup equipment gives couples added protection and allows the photographer to continue working when something unexpected happens.
7. How Are Wedding Photographs Backed Up and Protected?
After a wedding, I transfer the photographs to an additional hard drive with help from my assistant. We create another copy so the images are not stored in only one place. If one drive develops a problem, another copy remains available.
When speaking with a photographer, ask:
- When are the photographs copied after the wedding?
- How many backup copies are created?
- Are the copies stored on separate drives?
- How long are the photographs kept after the gallery is delivered?
- When are the original memory cards cleared?
Wedding photographs cannot be recreated. A professional photographer should have an organized backup process and should never depend on a single memory card, computer, or hard drive to protect the entire wedding.

8. When Will I Receive My Wedding Photographs?
Delivery times vary, so ask the photographer for a clear timeline before signing the contract. It is also important to understand the difference between preview photographs and the complete wedding gallery.
At Magic All Moment Photography, I aim to provide the online wedding gallery as quickly as possible while giving every photograph the attention it deserves. Your contract will explain when you can expect your completed gallery.
Printed photographs require additional time for preparation and professional printing. Wedding albums take longer because the photographs must be selected, the pages designed, the layout approved by the couple, and the finished album produced by the album company.
Before booking, ask when you will receive:
- Your preview photographs
- Your complete online gallery
- Printed photographs
- Your finished wedding album
A professional photographer should provide realistic delivery times instead of making promises that may be difficult to keep.
At Magic All Moment Photography, I generally deliver the completed online wedding gallery within one week. Printed photographs and wedding albums require additional time for preparation, design approval, printing, and production. Your contract will explain the delivery schedule for everything included in your collection.

10. What Should Be Included in a Wedding Photography Contract?
A wedding photography contract should clearly explain what the photographer will provide, what the couple will receive, and how much everything will cost. It protects both the couple and the photographer by putting the complete agreement in writing.
The contract should include:
- The couple’s names and contact information
- The wedding date and locations
- The photographer’s arrival and departure times
- The number of coverage hours
- The number of photographers included
- The total price and payment schedule
- The retainer required to reserve the date
- Any travel fees or additional costs
- The cost of extra coverage or overtime
- What is included in the photography package
- When preview photographs may be available
- When the completed online gallery will be delivered
- Whether prints or an album are included
- Image-use and printing rights
- Cancellation and postponement policies
- The emergency plan if the photographer cannot attend
- What happens if equipment fails or photographs are damaged
Read the entire contract before signing and ask about anything you do not understand. Verbal promises can be forgotten or misunderstood. A detailed written agreement helps prevent surprises and gives everyone a clear understanding of what to expect.
11. How Far in Advance Should I Book a Wedding Photographer?
Many of my couples book their wedding photography four to six months in advance. Some reserve their date a full year ahead, especially when the wedding falls during a popular season or on a highly requested date.
Booking early gives the photographer time to learn about you, understand your plans, visit or research the venue, schedule an engagement session, and help develop a realistic photography timeline. It also allows the photographer to learn about the family members, wedding party, traditions, and special moments that matter most to you.
Reserving early can also make the cost easier to manage. Instead of paying everything at once, you may have time to follow the photographer’s payment schedule and complete the balance before the wedding.
If your wedding is only a few months away, you should still ask about availability. However, booking early gives you more choices and makes it more likely that the photographer you truly want will still be available.
12. Can We See a Complete Wedding Gallery?
Yes. With Magic All Moment Photography, you can request to see a complete wedding gallery, as long as the couple has given permission for their photographs to be shared.
A portfolio usually shows a photographer’s best images from several weddings. A complete gallery gives you a better understanding of how the photographer documents an entire wedding day, including getting ready, the ceremony, family portraits, couple portraits, reception details, dancing, and moments captured in difficult lighting.
Seeing a complete gallery helps you judge whether the photographer’s quality and style remain consistent throughout the day. It can also give you a clearer idea of what you may receive from your own wedding.
13. Will You Personally Photograph Our Wedding?
This is an excellent question to ask before signing a contract. Some large photography companies photograph hundreds of weddings each year and work with several photographers. The person whose work you saw online or spoke with during your consultation may not be the person who arrives on your wedding day.
Working with a larger company is not necessarily a problem, but you should know who your lead photographer will be. Ask to see that photographer’s work and make sure their experience, personality, and photography style are right for you. The photographer’s name should also be included in your contract.
When you book Magic All Moment Photography, you work directly with me, Peter Martinez. I will personally photograph your wedding unless a serious illness or emergency prevents me from attending. If that happens, my backup photographer will step in, and I will handle the editing to keep the finished photographs consistent with the Magic All Moment style.
